Email Signature Generator

Design a clean, professional HTML email signature with your name, role, contact details, social links and logo, then copy it straight into Gmail, Outlook or Apple Mail.

The preview updates as you type. Use a hosted image URL (https) for the logo; email clients cannot read files from your computer.

What the email signature generator does

Your signature goes out with every message you send, which makes it the most viewed piece of branding most small businesses have. This tool builds a tidy HTML signature that renders consistently across email clients. Fill in your name, job title, company, phone, email, website and social profiles, pick an accent color that matches your brand, choose a horizontal or vertical layout, and watch the preview update as you type.

The output is built with a simple table and inline styles, which is the only approach that survives Gmail, Outlook and mobile mail apps without falling apart. No external stylesheet, no scripts, no surprises.

How to use it

  1. Enter your details. Leave any field blank and it simply will not appear in the signature.
  2. Add a hosted logo or headshot URL if you want an image. It must start with https and be reachable from the internet.
  3. Pick an accent color and layout, then check the preview.
  4. Click Copy signature to copy the formatted version, or copy the raw HTML if your mail client has a source editor.
  5. Paste it into the signature settings of your email client using the notes under the preview.

Why a proper HTML signature matters

A well-built signature makes you easy to reach and easy to trust. Clickable phone and email links save the recipient a step, a website link brings traffic back to you, and a consistent design across the team signals that the business is organized. Signatures that are pasted as screenshots, or built with fancy layouts, often break or get flagged as attachments. Keeping it simple is what makes it reliable.

If you use a custom domain for email, make sure it is set up with the right authentication records so your beautifully signed messages actually land in the inbox. Our email DNS checker will show you whether SPF, DKIM and DMARC are in place, and our business email hosting comes preconfigured.

Design tips

  • Keep it to four or five lines. Long signatures get ignored and add weight to every reply.
  • Use one accent color, ideally the same one as your website.
  • Keep images under 100 KB and always host them on a server you control.
  • Skip inspirational quotes and legal disclaimers unless your industry requires them.
FAQ

Frequently asked questions

Why does my logo not show up after I paste the signature?
Email clients can only display images hosted on a public web server. Upload the logo to your website or a file host, copy the direct https link to the image file itself, and paste that into the logo field.
Which copy button should I use?
Use Copy signature for Gmail, Outlook and Apple Mail. It copies the formatted signature so you can paste it directly into the signature editor. Use the HTML copy only if your client or a tool like a CRM asks for raw HTML.
Will the signature look the same in every email client?
Very close. The signature uses a table with inline styles, which is the most widely supported approach. Fonts may vary slightly if the recipient does not have Arial, but the layout and colors will hold.
Can I create signatures for my whole team?
Yes. Fill in the shared fields once (company, website, accent color and logo), then change the personal fields for each person and copy each result. Everyone ends up with a matching design.
Do you store the details I enter?
No. Everything happens in your browser. Nothing you type is sent to our server.
